Engineers were previously appointed or selected from the approved Continuing Services Consultants list to provide design services for heating, ventilating, and air conditioning (HVAC) renovation and replacement projects at several schools. To facilitate completion of these projects during the upcoming summer, early acquisition of equipment with long lead times for delivery from the manufacturer is required.

Equipment specifications were developed by the respective engineers, and air cooled chillers were grouped into a single solicitation by District staff. Five (5) bidders responded to the solicitation (bid tabulation attached). The solicitation provided for selection of the chillers providing the lowest life cycle cost after consideration of purchase price, energy consumption, and extended warranty and preventive maintenance costs. The respective engineers have reviewed the proposed equipment for compliance with the requirements of the solicitation. Award of contracts for air cooled chillers (including all options) to the firms providing the equipment with the lowest life cycle cost that meets the requirements of the solicitation of each project, as indicated in the attachment, is recommended.

The contract amounts being awarded are indicated in the attachment. Funds for purchase of the chillers and coil coating are included in the local millage funds budgeted for the respective projects. Funds for preventive maintenance and extended warranties will be included in future budget allocations of local millage funds.
