SUBJECT / RECOMMENDATIONS

Approve Award of Contract for Outside Air Conditioning Units Required for Upcoming HVAC Projects at
Multiple Schools

EXECUTIVE SUMMARY

Engineers were previously appointed or selected from the approved Continuing Services Consultants list to provide design services for heating, ventilating, and air conditioning (HVAC) renovation and replacement projects at several schools. To facilitate completion of these projects during the upcoming summer, early acquisition of equipment with long lead times for delivery from the manufacturer is required.

Equipment specifications were developed by the respective engineers, and outside air conditioning units were grouped into a single solicitation by District staff. A single bidder responded to the solicitation (bid tabulation attached) with a bid for outside air conditioning units meeting a portion of the requirement (units for a six-site project.) The engineer for the six-site project has determined that the equipment proposed by the single bidder meets the requirements of the solicitation, and that the price proposed is reasonable. Award of a contract to the single responsive bidder, Slade Ross, Inc. - Agent for Johnson Controls, Inc., is therefore recommended.

District staff have issued a revised solicitation for the remaining equipment for which no bids were received.
