SUBJECT / RECOMMENDATIONS

Accept the Lowest and Best Bids Submitted by Various Vendors - (ITB) #9053-MST Lawn Equipment Repair Service (Business Division)

EXECUTIVE SUMMARY

This bid was prepared at the request of the Sites and Utilities Department to establish fixed pricing for lawn equipment repair service. Award of this contract shall be to the lowest bidder for each line item or overall groups of items, as specified in the bid. Award was based on the ability of the vendor to provide labor, as well as the necessary parts to complete the repairs, with the exception of Line 11, because these are repaired in house. This recommendation has been reviewed by the Sites and Utilities Department Manager. A more detailed review of the specifications can be obtained by contacting the Procurement Department.

Funds of approximately $125,000 will be available in the Sites and Utilities Department's budget for the repair of lawn equipment.

EVALUATION

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
