Accept the Lowest and Best Bids Submitted by Various Vendors as Shown on the Attached Qualification Analysis – Request for Qualifications (RFQ) Summary (Business Division)

EXECUTIVE SUMMARY

The attached data is a compilation of maintenance work that has been completed on various Requests for Qualification (RFQ's) utilizing a sealed bid process for the fiscal year 2008/2009. These details are provided in order to facilitate the Purchasing Support Plan approved by the School Board on March 2, 1999.

FINANCIAL IMPACT (Budgeted: Yes)

Funds for these RFQ's were included in the General Fund Budget for the Maintenance Department.

EVALUATION

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
