Accept the Lowest and Best Bid Submitted by Various Vendors - Invitation to Bid (ITB) #9108-DST Paint and Body Collision Repair (Business Division)

EXECUTIVE SUMMARY

This bid was prepared at the request of the Transportation Department to establish fixed pricing for paint and body collision repair. It is recommended that all vendors be awarded. The rationale for this is that each recommended vendor performs different work on vehicles from different manufacturers. The Transportation Department could use the appropriate vendor based on model and manufacturer. This recommendation has been reviewed by the Transportation Fleet Manager. A more detailed review of the specifications can be obtained by contacting the Procurement Department.

Funds of approximately $360,000 will be available in the Transportation Department budget for the purchase of paint, body collision, and general repair services.

EVALUATION

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
