Approve Contract Amendment with CA, Inc., formerly known as Computer Associates, Inc., for Software Licensing (Information and Technology Division)

EXECUTIVE SUMMARY

Approval is requested to contract with CA, Inc. for software maintenance and licenses required to operate the district’s student information system, service desk and computer network management applications. In order to get the best discount, the district combines CA, Inc. software purchases into a three-year contract. The previous contract ended on August 15, 2009. CA, Inc. extended licensing to allow for time to negotiate and approve this contract. If approved, the effective date of this contract begins on August 15, 2009, to maintain continuous software licensing.

The increased demand for access to district data and information technology services has resulted in requiring additional capacity for our student information system and associated applications. This new contract includes approximately 30% increased capacity for the student information system and additional licenses for the service desk and computer network management applications to minimally keep up with the demand. There is a $60,399 increase in annual cost, over the prior contract, that was minimized by removing nonessential software, exchanging software components for better value bundles, and discontinuing maintenance on various software.

The software cost is $678,342 per year. The total cost for the three-year contract is $2,035,026. The cost will be expended from the Information Services Department and districtwide software budgets.
