Approve the Renewal Purchase of Cayen Systems’ Supplemental Services Tracker System to Manage Hillsborough County Public Schools Supplemental Educational Services Program for the 2009/10 School Year (Student Services and Federal Programs)
EXECUTIVE SUMMARY
On July 26, 2005, the purchase of Cayen Systems’ Supplemental Services Tracker was approved by the school board. The software system resides on a server within our district’s firewall and handles the financial management and invoicing of the program, communication with providers and parents, manages student enrollment and placement, holds all district accountability data, and contains a myriad of reporting and evaluation tools. For the 2009/2010 school year, the system will assist in supporting all 107 sites that are required to offer Supplemental Educational Services.

EVALUATION
At the conclusion of the 2009/10 school year, stakeholders will be surveyed to determine the effectiveness of the Cayen Systems software to support the district’s Supplemental Educational Services program. This survey will assess the software’s ability to accurately track expenses and attendance, produce accurate invoices, and provide accurate student reporting data to the state. The results of this survey will be shared with the vendor and be used in determining future purchases.
