Accept the Lowest and Best Bids Submitted by Academic Supplier - Invitation to Bid (ITB) #9017-EST Toner and Ink Cartridges-New and Remanufactured (Business Division)

EXECUTIVE SUMMARY

This bid was prepared to establish fixed pricing for new and remanufactured toner and ink cartridges. This bid may be renewed in four one-year increments subject to negotiations. Award of this contract shall be to the lowest responsive and responsible bidder, as specified in the bid. A more detailed review of the specifications can be obtained by contacting the Procurement Department.

FINANCIAL IMPACT (Budgeted: Yes)

Funds of approximately $1.3 million will be available in district budgets for the purchase of new and remanufactured toner and ink cartridges. Due to lower pricing and rebates, a savings of approximately $270,000 will be realized based on past year expenditures.

EVALUATION

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
