| Renew the Existing Bid Submitted by Various Vendors - Invitation to Bid (ITB) #9113-EST Musical Instruments, Secondary Education (Business Division) | |
| EXECUTIVE SUMMARY | |
| On October 28, 2009, the Procurement Department, in conjunction with the Secondary Education Department, issued an ITB for the purchase of musical instruments. The initial term of the contract was from January 13, 2010 through January 12, 2011, with four additional one-year renewal options.
The suppliers have agreed to renew for the second year, beginning January 13, 2011 through January 12, 2012, with terms and conditions to remain unchanged, but included numerous price changes. The Supervisor of Secondary Music will be assembling a committee to review product offerings. The Procurement Department will negotiate any large purchases on a case by case basis. The Superintendent is authorized to approve the renewal agreement for the terms of the specifications. |

| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
