| Renew the Existing Bid Between Various Vendors and the State of Florida Division of Management Services (DMS) Utilizing the Library Furniture Contract 420-590-07-1 (Business Division) | |
| EXECUTIVE SUMMARY | |
| The district has standardized the purchase of furniture from various vendors listed on the State of Florida agreement. Applicable Florida Department of Education (FLDOE) 6A1.012 and district policy allows purchases from contracts awarded by other government agencies, district school boards, Department of Management Services (DMS), etc., at or below specified prices.
The Procurement Department continues to negotiate deeper discounts on large volume purchases. This is the first renewal of the agreement, effective February 21, 2011 through February 20, 2012. The Superintendent is authorized to approve the renewal for the terms of the specifications. |

| Funds of approximately $411,000 will be included in the General Fund for replacement furniture and the Capital Fund for renovations, remodeling and additions. This estimate is based on the last 12 months' expenditures. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
