Renew the Existing Bid Submitted by Structured Cabling Solutions, Inc. –  Invitation To Bid (ITB) #10002 CCTV-LAN Contractors (Business Division)

On March 18, 2010, the Procurement Department, in conjunction with the CCTV-LAN Department, issued a competitive sealed bid for CCTV-LAN Contractors.   The initial term for this award was from March 18, 2010 to March 17, 2011, with four additional one-year renewal options.  The supplier has agreed to renew for the second year, beginning March 18, 2011, with prices, terms, and conditions to remain unchanged.   

The work under this contract consists generally, but is not limited to furnishing the necessary labor, equipment, materials, and oversight required to install and/or repair existing infrastructure CCTV-LAN located in district sites.  The original bid was awarded to two vendors for each group of items.  Mathis Group Security has since declined the bid and the next lowest price was Structured Cabling Solutions, Inc.  The Superintendent is authorized to approve the renewal agreement for the terms of the specifications.

Attached are copies of the original agenda Item and supporting documents.  Structured Cabling Solutions is a State of Florida vendor and has a City of Tampa occupational license.  Our Office of Supplier Diversity is currently examining their program eligibility.

These services are included in the CCTV-LAN budget in the approximated amount of $136,000.

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team.  Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report.  Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
