Renew the Existing Bid Submitted by Various Vendors - Invitation to Bid (ITB) #9011-MST Pest Control Chemicals (Business Division)
EXECUTIVE SUMMARY
On February 18, 2009, the Procurement Department, in conjunction with the Maintenance Department, issued an ITB for pest control chemicals.  This bid was prepared to establish firm pricing for pest control chemicals.

The initial term for this award was from April 22, 2009 to April 21, 2010, with two additional one-year renewal options, negotiable yearly.  The suppliers have agreed to renew for the period beginning April 22, 2011, and ending April 21, 2012, with minimal adjustments to pricing resulting in a 2% decrease from last year's actual purchases.  The Superintendent is authorized to approve the renewal agreement for the terms of the specifications.

FINANCIAL IMPACT (Budgeted:  Yes)
Funds of approximately $75,000 will be available in the Pest Control Department budget.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team.  Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report.  Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
