EXECUTIVE SUMMARY | |
On May 6, 2009, the Procurement Department, in conjunction with the Curriculum and Instruction Division, issued a competitive sealed bid for the purchase of instructional calculators used in the classroom for skills ranging from basic arithmetic to advanced graphing and scientific calculations. The initial term of the contract was from June 10, 2009 through June 9, 2010, with two additional one-year renewal options.
The original contract was awarded to two vendors, AFP School Supply and K. Harris Publishing, Inc. During the second year, K. Harris Publishing, Inc. went out of business and the Procurement Department negotiated pricing with the next lowest awarded vendor, AFP School Supply. AFP School Supply has agreed to the second one-year renewal, beginning June 10, 2011, and ending June 9, 2012, with prices, terms, and conditions to remain unchanged. During the last 12 months, the district has purchased over 2,500 calculators from this contract. |

EVALUATION | |
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
