Renew the Existing Bid Submitted by Various Vendors - Invitation to Bid (ITB) #8236-DST Commodity Food Processing (Business Division)

On March 9, 2009, the Procurement Department, in conjunction with Student Nutrition Services Department, issued an ITB for commodity food processing for items such as pizza, meatballs, cheese, and potato products.

The initial term for this contract was from July 1, 2009 through June 30, 2010, with four one-year renewal options, subject to yearly negotiations and mutual agreement.  Most vendors have agreed to renew for a third time, beginning July 1, 2011, and ending June 30, 2012.  The products not being renewed are beef patties, Asian chicken, chicken nuggets, and popcorn chicken.  Several other items have been deleted from the commodity food processing list, which include pizza wedges, roasted chicken, and potato triangles. 

The Superintendent is authorized to approve the renewal agreement, per the terms of the specifications.

Funds of approximately $4.5 million have been previously allocated through the Student Nutrition Services Department budget for commodity food processing.

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team.  Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report.  Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
