| Accept the Lowest and Best Bids Submitted by Various Vendors - Invitation to Bid (ITB) #11117-EST Audio Visual Equipment, Related Parts and Periodic Service (Business Division) | |
| EXECUTIVE SUMMARY | |
This bid was prepared at the request of the Customer Service and Support and CCTV/LAN Departments to establish fixed pricing for audio visual equipment, related parts, and service of televisions, projectors, digital cameras, and smartboards. Award of this contract shall be to the lowest bidder for each line item as specified in the bid. This recommendation has been reviewed by the acting manager of Customer Service and Support and the supervisor of Networking/Closed Circuit TV and A.V. Repair. The initial term of this contract will be for a one-year period, with four one-year renewals, subject to negotiations and mutual agreement. This contract may be renewed by the Superintendent, per the terms of the specifications. |

| Expenditures were $3,358,484 for 2010/2011, and $4,416,253 for 2009/2010. Due to a reduction in line item costs, Hillsborough County Public Schools will save approximately $335,000 over the previous year's expenditures. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
