| Accept the Highest Ranking Proposal from DeMoulin Brothers and Company - RFP #12036A-EST Band Uniforms (Business Division) | |
| EXECUTIVE SUMMARY | |
| The purpose of this RFP is to select a vendor for the purchase of band uniforms districtwide, as necessary. This RFP includes the replacement of marching band uniforms for Bloomingdale, Gaither, and Wharton High Schools. The district has the ability to negotiate additional discounts for future large orders. Replacement of uniforms is typically done on a rotating schedule where three schools purchase new uniforms every nine years.
Two firms responded to the RFP and a committee of district band directors and parents evaluated the proposals and sample uniforms. The committee recommended awarding to the top-ranked firm. The initial term of this contract will be for one year, with five one-year renewals. The Superintendent is authorized to approve any extension agreements, per the terms of the specifications. |

| Funds in the amount of $150,000 are allocated in the Secondary Music Department and School Band Booster budgets for the purchase of band uniforms. The Procurement Department negotiated an additional one percent discount from the original proposal. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
