Renew the Agreement for the Purchase of "Britannica Online School Edition" from Encyclopaedia Britannica, Inc. (Sole-Source Provider) (Business Division)
EXECUTIVE SUMMARY
On August 16, 2011, the Board approved the use of the Online School Edition from Encyclopaedia Britannica, Inc., a sole-source provider, for the first year of a three-year term.  We request Hillsborough County Public Schools (HCPS) renew for the second year, as Britannica has provided stable pricing for the three-year term.  The Superintendent is authorized to approve the renewal agreement for the terms of the specifications.

This comprehensive K-12 reference and learning resource provides teachers and students with instant access to four complete encyclopedias that ensure consistency with classroom topics and age-appropriate language.  In addition to Britannica, the Compton's Electronic Resource and the Britannica Learning Zone are included in this package.  The Britannica Learning Zone features an interactive atlas, online art activities, games and learning materials, audio and video, and vocabulary builders.  It is compatible with our Florida State Standards and offers curriculum guides.  This electronic resource is available in English and Spanish and accessible to students and district staff at school or at home through our HCPS web page at any time.  Professional development will be provided in person and through the Britannica Webinar Training Program. 

Encyclopaedia Britannica, Inc. provides an online electronic resource, holds copyright on all materials, and is exempt from the solicitation process per Florida Department of Education rule 6A-1.012.

FINANCIAL IMPACT (Budgeted:  Yes)
Total funds in the amount of $122,100 are budgeted in the State Categorical Library Media Project 4505 for school years 2012/2013 and 2013/2014, per the attached quote ($61,050 each year).
EVALUATION
Monthly usage statistics for each school will be provided to the district by the vendor.  A survey will be developed and administered to the staff and students to evaluate the effectiveness of the product.

First year evaluation results: Britannica Online Edition had over 124 million hits in the last 12 months. That includes 56 percent from elementary, 22 percent from middle, 13 percent from high schools, and 9 percent from other.
