| Accept the Highest Ranking Proposals from Tampa Bay Trane, Johnson Controls, and Air Mechanical and Service Corporation - RFP #12091-MST Chiller and Ice Harvester Repair and PM (Business Division) | |
| EXECUTIVE SUMMARY | |
| The purpose of this RFP was to procure fixed prices for chiller and ice harvester repair and preventative maintenance. These units generate a cold liquid, which is circulated through the air handler's cooling coil to cool the air supplied to the schools. Hillsborough County Public Schools is awarding to multiple vendors to ensure coverage and service throughout the district.
Five vendors responded to the solicitation and a committee of Maintenance Department and HVAC and Energy Management Department personnel evaluated the proposals and recommended awarding to the top three ranked vendors. The initial term of this contract will be for one year, with four one-year renewals. The Superintendent is authorized to approve any extension agreements, per the terms of the specifications. |

| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
