| Accept the Proposal from The Vernon Company - Request for Proposal (RFP) #13032-DST Printing and Bulk Mailing of Free and Reduced Meal Applications (Business Division) | |
| EXECUTIVE SUMMARY | |
This RFP was prepared at the request of the Student Nutrition Services Department to establish fixed pricing for the printing and bulk mailing of free and reduced meal applications. Vendor will be responsible for print layout, accuracy of information, print quality, and on-time delivery of the expected bulk mailings. This service is vital to Student Nutrition Services; it is the means to allow parents to provide information as to their need for funding of their children's meals. Three vendors responded to the RFP and an evaluation committee selected the highest-ranked vendor for award. The initial term of this contract will be for a one-year period, effective May 22, 2013, with four one-year renewals. The Superintendent is authorized to approve any renewals, per the terms of the specifications. |

Annual funds of approximately $49,000 will be available in the Student Nutrition Services Department budget. The cost avoidance negotiated by the Procurement Department is $5,000 per year. |

| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract | |
