| Accept the Proposal Submitted by Ancom Systems, Inc. - Request for Proposal (RFP) #13035-MST Telephone Systems Maintenance and Repair (Business Division) | |
| EXECUTIVE SUMMARY | |
| On April 12, 2013, the Procurement Department, in conjunction with the Maintenance Department, issued a Request for Proposal (RFP) for telephone systems maintenance and repair. Telephone service is critical to the safety of our students and staff, vital to the daily operation of our district, and our first means of communication with parents. Minimum qualifications for vendors included Nortel/Avaya certified technicians. Two vendors responded to the RFP and their proposals were evaluated by a committee of district personnel. The committee recommended Ancom Systems, Inc.
The initial term of this contract shall be for a three-year period beginning July 17, 2013, with four one-year renewals. All prices offered are firm against any increase for at least one year from the effective date. This contract may be renewed by the Superintendent, per the terms of the specifications. |

| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
