| Accept the Lowest and Best Bid Submitted by Florida Handling Systems, Inc. - Invitation to Bid (ITB) #14009 Roll Up, Overhead, and Electronic Doors and Gates - Maintenance and Repair (Business Division) | |
| EXECUTIVE SUMMARY | |
| This bid was prepared at the request of the Facilities Maintenance Support Department to establish fixed pricing for the maintenance and repair of roll up, overhead, electronic doors, and gates located throughout the district. Award of this contract shall be to the lowest responsive, responsible bidder as specified in the bid. This recommendation has been reviewed by the Facilities Maintenance Support Department Manager.
The initial term of this agreement shall be for a one-year period beginning March 19, 2014, with four one-year renewals. All prices offered are firm against any increase for at least one year from the effective date. This agreement may be renewed by the Superintendent, per the terms of the specifications. |

| Year-to-date expenditures are $20,301 for 2013/2014, and $54,118 for 2012/2013. One vendor responded and the district will save approximately $2,310 due to a reduction in labor costs. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
