Accept the Proposal from FirstClass Depot – Request for Proposal (RFP) #14029A-DST School Website Design and Hosting Services (Business Division)
EXECUTIVE SUMMARY
On June 24, 2014, the Procurement Department, in conjunction with the Office of Communications, issued an RFP for qualified firms to provide school website design and hosting services for district school websites.  Sixteen firms responded and their proposals were evaluated by a committee of district and community stakeholders. After review and discussion of the proposals, and presentations by the top three vendors, the committee recommended awarding to the top-ranked firm: FirstClass Depot.

This project will enable the district to provide continuity within the websites, update design and user protocols, and allow further enhancements that can be made by district personnel without future outsourcing.  The district will realize a cost avoidance for additional hosting by utilizing our existing hosting vendor.  

The initial term of this contract will be for a one-year period, with four one-year renewals, subject to negotiations and mutual agreement.  The Superintendent is authorized to approve any renewal agreements, per the terms of the specifications.

FINANCIAL IMPACT (Budgeted:  Yes)
Funds in the amount of $278,000 will be paid by schools over a period of five years.  A one-time implementation and training charge in the amount of $41,000 will be available in districtwide budget.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and the Procurement Officer, who function as a team.  Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report.  Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
