Approve the Renewal of the Symantec Academic Subscription Program Agreement through Advanced Market Place (Information and Technology Division)
EXECUTIVE SUMMARY
This agreement renews the Symantec Education (SymEd) software package approved by the school board on September 11, 2012, for a one-year subscription.  SymEd, offered only to academic institutions, provides software to protect, manage, and secure information within the district.  Without this software the security of all data housed by the district would be at great risk.  The software includes antivirus and malware protection for all district devices (over 100,000 devices).  Additionally, the software package provides device, server, and asset management, which is used to remotely install software and apply updates, and Symantec Service Desk for tracking customer calls in our Technology Call Center.  

The agreement also includes Bomgar and Dameware software, which is used by district staff for secure access to desktops and servers to assist remote troubleshooting.  As an added value, Symantec and Advanced Market Place (AMP) agreed to include the Symantec GHOST software, not part of the standard SymEd package, at no additional cost.  GHOST software is used for hard drive imaging and would normally cost over $150,000 per year for the quantity of district devices covered. 

In the 2012 agreement, Symantec offered special introductory pricing for the then new SymEd bundle that is priced based on staff full-time equivalent (FTE) count, rather than based on the number or devices protected by the Symantec products.  Because of this change, Symantec also reduced the 2012 agreement price by agreeing to credit the district for purchased device licenses.  SymEd is no longer an introductory product and the credit allowance was a one-time offering.  These factors contribute to the higher annual cost for this renewal.  The district’s price is 58 percent off the Symantec base price, as well as significantly less than if SymEd did not exist and the district had to license the products by the number of devices protected rather than the FTE pricing model. The SymEd program saves the district more than $5,000,000 per year if the same licenses were purchased in a subscription base per end point device rather than FTE model.   The district is limiting this  agreement to a one-year term to provide the opportunity to investigate alternative solutions and to ensure the best long-term value.

The expense for this one-year agreement is $1,209,461.  Funds are included in the Information Technology Division for this expense.
