| Accept the Proposals Submitted by Various Vendors – Request for Proposal (RFP) #15173-DST School Bus AC Maintenance, Repair, and Parts (Business Division) | |
| EXECUTIVE SUMMARY | |
| On December 11, 2015, the Procurement Department, in conjunction with the Transportation Department, issued an RFP to establish qualified vendors to provide air conditioning maintenance, repairs, and parts for district school buses. A total of three vendors responded and a committee of district personnel recommended all three vendors for award, one primary vendor assigned per area.
The initial term of this contract will be for a one-year period, with four additional one-year renewals. The Superintendent is authorized to approve any renewal agreements, per the terms of the specifications. |

For tracking purposes, the project number specific to this agenda item is 5335. As of Wednesday, January 27, 2016, the remaining balance less encumbrances for this line item equaled $894,175.00. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are performed annually or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
