Approve Contract Amendment with SirsiDynix Corporation for the Symphony Integrated Library System (Information and Technology Division)
EXECUTIVE SUMMARY
On May 3, 2011, the Board approved the Master Agreement with SirsiDynix Corporation for the license and support of the Symphony Software Integrated Library System.  This seven-year long term agreement with an effective date of September 1, 2016, extends the contract for seven years with no increase in the annual cost over the period for all active products.  This agreement is fully incorporated into the Master Agreement.  This agreement may be terminated upon 90 days written notice.

Since 2011/2012, the district has paid an average increase of 4.1 percent per year.  This negotiated cap will save a minimum of $2,567.76 per year.  

In accordance with the Florida Department of Education, Purchasing Policy 6A-1.012(11)(b), the requirement for requesting competitive solicitations for commodities or contractual services from three or more sources is hereby waived as authorized by Section 1010.04(4)(a), F.S. for purchase by district school boards of educational services and any type of copyrighted materials where such materials are purchased directly from the owner of the copyright.

FINANCIAL IMPACT (Budgeted:  Yes)
The annual maintenance fee for the Symphony Integrated Library System is $66,886.87 for a total cost of $468,208.09 over the 7-year renewal period beginning September 1, 2016. Maintenance for the 2015/2016 contract year is paid through August 31, 2016. Funding for the 2016/2017 contract year is included in the 2016/2017 fiscal year budget.
EVALUATION
Library Media Services monitors vendor and library system performance. Library Media Services conducts reviews face-to-face, typically quarterly, or by utilizing an online vendor performance report.
